Introduction

At e=mc² events, we are committed to protecting your privacy and safeguarding your personal, business, and financial information. This Privacy Policy applies toe=mc² events (collectively “e=mc² events”, “us”, “we” or “our”).

The purpose of this Privacy Policy is to inform you about the types of Personal Information, as defined below, that e=mc² events collects, uses and discloses. It explains how we use and disclose that information, the choices you have regarding such use and disclosure, and how you may correct that information.

What information do we collect about you?

  • to process your application for employment
  • to send you newsletters (Please note that in accordance with Canada’s Anti-Spam Legislation, you can choose not to receive any electronic marketing communications from us by clicking the “opt out” function contained in all e=mc2 events electronic communications

Payment information (such as credit card or bank account details)

  • This information is only collected and used to register you for a specific event, or to pay you for the work you have been hired for on a specific event.


We may use Personal Information for other purposes, but only if you have given your consent to do so. For example, if you review an event and you agree to let us post that review on our website.  Please note that reviews posted on our website are public, so only include information you are comfortable with sharing publicly.

How do we collect your Personal Information?

We will always collect your Personal Information by fair and lawful means (for example, when you engage us to provide event registration services, use the e=mc² events website or use a website we have hired a reputable third-party supplier to setup, or speak to a e=mc² events representative). We collect Personal Information either directly from you, or from an authorized representative of your company who has hired us to manage registration for an event that they are holding. 


From time to time, you may voluntarily provide e=mc² events with unsolicited Personal Information (e.g. by providing information through the e=mc² events websites). If you do wish to provide such information for any reason, you consent to e=mc² events using that information in the ways described in this Privacy Policy or as described at the point where you choose to disclose this information. When providing e=mc² events with unsolicited information, we ask that you not provide any sensitive information (e.g. Personal Information revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data, health information) unless you provide us with explicit consent to collect this information from you.


With respect to our websites, e=mc² events may use cookies and Google Analytics to collect information regarding the use of the websites. Generally, this information is non-identifiable and would likely not be considered Personal Information.


Cookies: Cookies are small text files placed on your hard drive that assist us in providing a more customized website experience. For example, a cookie can be used to store registration information in an area of the site so that a user does not need to re-enter it on subsequent visits to that area. It is e=mc² events’ policy to use cookies to make navigation of our websites easier for visitors and to facilitate efficient registration procedures. If you are concerned about cookies, most browsers permit individuals to decline cookies. In most cases, a visitor may refuse a cookie and still fully navigate our websites.


Google Analytics: To gather visitor statistics and manage cookies, we use Google Analytics which allow our third-party tracking tools, to gather information such as the IP address of your computer, the time the material was viewed, and the type of Internet browser used to access the page. This information is tracked on the third-party tracking tools' servers and reported in aggregate to our webmasters. If you are concerned about this, you can turn off your browsers' cookies. This action will prevent Google Analytics from tracking your specific activity; however, it may still record a visit from your IP address.


Who has access to your information?

We identify to whom, and for what purposes, we disclose your Personal Information, at the time we collect such information from you and obtain your consent to such disclosure.

We limit access to your information to employees who have a need to use the information and are obligated to protect that information and keep it confidential.  We may also share your information with other companies in the e=mc² events group.  All e=mc² events group companies have a contractual obligation to comply with the terms of this privacy policy and to protect your information. 

We may also provide the information we collect about you to other companies, who may process the information on our behalf, including companies that assist us with: 

 

  • Event registration 
  • Payment platforms (Processing payments)

 

We may also share the information as required or permitted by law, such as when we believe such disclosure is appropriate to cooperate with an investigation of activities claimed to be unlawful, to enforce our Terms of Use, or to protect our rights or property or those of others.

Finally, we may provide your information to one or more third parties in the event of a merger, acquisition, or corporate reorganization involving us.

To the extent that any Personal Information is out of the country, it is subject to the laws of the country in which it is held, and may be subject to disclosure to the governments, courts or law enforcement or regulatory agencies of such other country, pursuant to the laws of such country.


There may be several places throughout the websites that may link to other websites that do not operate under this Privacy Policy. When you link to other websites, e=mc² events’ privacy practices no longer apply. For this reason, we encourage visitors to review each site's Privacy Policy before disclosing any Personal Information.


How long do we keep your information?

We may keep a record of your Personal Information, correspondence or comments in a file specific to you. We will use, disclose or retain your Personal Information for as long as necessary to fulfill the purposes for which that Personal Information was collected, or as permitted or required by law.


How do we delete your information?

When we delete data, we follow a deletion process to make sure that your data is safely and completely removed from our servers. 

We either destroy, erase or anonymize any Personal Information that we no longer need.

We dispose of information in a way that prevents a privacy breach, such as by securely shredding paper files or effectively deleting electronic records.

We ensure all Personal Information is fully deleted before disposing of electronic devices such as computers and cellphones.


What rights do you have to access and control the use of your information?

You have the right to:

  • access your Personal Information
  • unsubscribe from marketing or withdraw any specific consents you gave us
  • request a copy of the Personal Information that is being processed by us
  • have errors in your Personal Information corrected
  • have your Personal Information deleted (or altered so that you are not identifiable) or to restrict the ways in which we use your Personal Information – but in either case, only under specific circumstances prescribed by law
  • lodge a complaint with your local data protection authority

Use and Disclosure of Information


Business Operations: In order to carry out certain business functions, such as e-mail delivery, or marketing, we sometimes hire other companies to perform services on our behalf. These companies may be located outside of Canada. We may disclose Personal Information that we collect about you to these companies to enable them to perform these services, but those companies are not authorized to use it for any other purpose than completing their contractual requirements to e=mc² events.


Third Parties:  Third-party companies are contracted to manage event registration, including processing any payments.

 

Law Enforcement, Protection of e=mc2 events and our Clients:  e=mc² events reserves the right to disclose Personal Information, including account information, when we believe such disclosure is appropriate to cooperate with an investigation of activities claimed to be unlawful, to enforce our Terms of Use, or to protect the rights or property of e=mc2 events or others.

 

Merger, Sale, or Acquisition: In addition, it is possible that in the future another company may acquire e=mc² events or its assets. It is also possible that e=mc² events may partner with or purchase another company to continue to do business as a combined entity. In the event that this occurs, it is possible that our customer information, including your Personal Information, may be transferred to the new business entity as one of e=mc² events assets. In such an event, we will update this policy to reflect any change in ownership or control of your Personal Information.

 

Changes to this Privacy Policy

e=mc² events may revise this Privacy Policy from time to time by posting a revised Privacy Policy on our website and changing the last modified date at the top of the Privacy Policy. If we make significant changes to the Privacy Policy, we will note the Privacy Policy has changed on the main page of the website. We reserve the right to modify this Privacy Policy at any time, so please review it frequently.
