Experience Producer

Collaborative | Flexible | Organized | Efficient


The primary responsibility of an Experience Producer is to ensure the creative, financial, technical and project management success of our highest profile projects while facilitating positive relationships with our clients, event partners and team members, including the coordinator role that reports to the position. The Experience Producer is responsible to support the Business Development team during the sales process to develop creative concepts and budgets and present proposals to clients.

  • Position Details

    As a producer at “e”, you are an individual with 6+ years experience in live event, conference, show and program management and in the production industry.     The team member we are looking for must lead projects, partners and team members to successfully exceed the expectations of our valued clients. You should be creative, solutions based, resourceful, budget driven, communicative, emotionally intelligent, highly efficient in processes and management while using your storytelling prowess to create incredible moments that matter.


    We are producing very high profile and large budget projects across the globe and within our great nation, so a love of travel (there’s a lot!) and a valid passport is important and, a second (or third or fourth) language would be a nice bonus.

  • Duties & Responsibilities

    Project Management

    • Responsible to effectively oversee and/or perform all duties related to the planning and execution for a successful project.
    • Prepare and manage project plans and timelines using approved templates for all projects to ensure all deadlines are met.
    • Liaise with clients to determine objectives and vision, provide regular updates and progress reports.
    • Develop project budgets to meet the client vision and be fiscally responsible with the budget requirements.
    • Forecast resources required for project and work with the BD team to determine fees to achieve the company expectation of project profit
    • Manage the internal resources to meet company expectations of productivity and profit.
    • Plan & organize site visits including venue itinerary, client & team travel
    • Manage all elements for the project through the expertise of suppliers and team members.
    • Coordinate all logistics with suppliers to include, production management, venue management, room allocation requirements, food and beverage, audio-visual, lighting, rigging, content creation, exhibit requirements, registration, transportation, accommodation, design and décor, promotional items, printing and material distribution.
    • speaker requirements for meeting and conference projects to include, research, contract negotiations, technical requirements, scripting, host/emcee management, presentation collection, travel and other logistics.
    • Provide insightful customer service to clients to achieve a successful outcome and client retention.
    • Recruit, schedule, train and supervise all on-site contracted staff as required.
    • Responsible for managing all invoices & costs to ensure accurate project billing and reports to client.
    • Ensure debrief of project and archive files properly.
    • Manage experience coordinator/manager work schedule to ensure productivity, timeliness of deadlines, vacation and balance time.

    Risk Management/Health & Safety (H&S)

    • Assess project risk and implement risk management techniques using the company’s comprehensive health & safety protocols.
    • Ensure the completion of all required H&S documents for each project.
    • Ensure Health & Safety resources are prepared for each project.
    • Liaise with Safety Officer on-site.
    • Conduct on-site safety briefings with staff and suppliers.
    • Uphold the Supervisor responsibilities as outlined in the company Health & Safety program and policy.

    Creative Development

    • Ability to listen carefully to understand, translate, confirm, and problem-solve effectively to address the goals & objectives of the client, and communicate to others. Uphold, and improve the quality standards of our experiences through research and quality checkpoints.
    • Lead creative brainstorm sessions with team.
    • Develop creative ideas, descriptions and budgets for proposals.

    Sales

    • Instrumental in the sales process by supporting the Business Development team in proposals and presentations expressively detailing our services and the vision of the experience.
    • Interact professionally with clients from the initial sales process outlining services, proposal and budget development, with successful pass over of information to experience team.
    • Collaborate with the Business Development team to create, prepare & present proposals.

    Performance Management

    • Train and coach Experience Coordinators/ Managers.
    • Provide feedback for employee performance reviews.
    • Proactivity plan feedback sessions on performance and goal progress with your supervisor.

    Leadership & Culture

    • Be a role model of company standards and expectations and act in the best interest of the company by upholding policies, procedures and vision.
    • Know and abide by our company core values - honourable, innovative, insightful and invested.
    • Participate in company meetings, strategic plans etc. to help meet company goals & objectives.
    • Meet internal and external deadlines consistently.
    • Show communication skills: express ideas and agreements concisely and persuasively, both orally and in writing.
    • Demonstrate integrity, dependability, sound judgment, teambuilding and resourcefulness to establish and maintain collaborative, positive, and effective working relationships with multiple and diverse groups.
    • Other duties as assigned.
  • Skills and Qualifications

    • A minimum of 6 years of experience management experience in events (800 +attendees) with extensive knowledge encompassing all elements is required.
    • Certificate in Experience Management from accredited institution or equivalent related education.
    • Excellent administrative, organizational, communicative and written skills required.
    • Must be able to work in a fast-paced, deadline driven environment subject to change.
    • Proven strong client & supplier service skills to include negotiation and timely communication.
    • Ability to anticipate challenges or issues and proactively respond to ensure success.
    • Must be able to lead and manage others in a kind, efficient and honourable manner.
    • Ability to anticipate challenges or issues and proactively respond to ensure success.
    • Must be invested, self-motivated and able work with minimal supervision.
    • Detail oriented and creative.
    • Advanced skills in computer programs – G Suite products and IOS platform experienced preferred.
    • Must be able to work evenings, weekends and travel out of town & internationally as required.
    • Valid passport required.
    • In office attendance required three days a week minimum.
    • Able to lift 20 lbs. and be on your feet for extensive periods of time.
    • Black dress clothes and shoes are required for onsite experience work.
    • Bilingual in English & French preferred; other languages are also an asset.
